Pokeno Wheels and Heels Cycle  Challenge

Event Terms and Conditions 2013


1. Acceptance of Conditions
1.1. For the well being of all entrants, and of the event, all entrants must accept and comply with all event conditions.

2. Eligibility to compete
2.1.  The minimum age for the bike ride is 14 years. Persons under this age must  get a special dispensation from the Event Director, Blair Johnston, to participate in the bike ride. Entries for persons under 18 years must be signed by a parent, guardian or caregiver.

3. Route Variation
3.1. The organisers of the Pokeno Wheels and Heels Cycle Challenge reserve the right to vary the route of any of the Courses without notice, should any situation requiring such action arise.

4. Safety and Conduct

4.1. The Pokeno Wheels and Heels Cycle Challenge is a community event, and as such it is expected that entrants will conduct themselves in a manner which will ensure he safety of all involved in the event.
4.2  Event participants agree to abide by all road rules as per the Road Code. In particular, participants must stay to the left of the centre line and wear an approved safety NZ cycling helmet while riding in this event.
4.3 As there are NO road closures for this event there is no guarantee that other members of the public will necessarily respect or obey the road rules.
4.4 Event participants must abide by rules specific to the event, e.g. single file in The Glade (out and return rides)and comply with all requests made by the officials and  marshals. Numbers must be worn as directed by the race organiser.

5. Preparation, Training and equipment.

5.1. It is each entrant’s responsibility to ensure that they have adequately prepared themselves physically for their event.
5.2. It is the entrant’s responsibility to ensure that their bicycle and any other equipment used in the event are in safe and road-worthy condition.

6. Event Information

6.1. The event organisers will make every effort  to ensure, but cannot guarantee, that each entrant receives all relevant information.It is each entrant’s responsibility to be informed and read all information made available.


7. Accompanying Vehicles
7.1. For safety reasons accompanying vehicles are requested not go on the course.


8. Legal Waiver
8.1. Any entrant involved in an accident will not seek to blame or make a claim against the organisers or assist anyone else in making a claim.
8.2. In consideration of the acceptance of a participants entry, it is agreed to the exclusion of liability to Pokeno Wheels and Heels, event organisers, officials, sponsors, volunteer groups, or individuals, from all claims for injuries and / or damage however caused, whether fatal or otherwise, that may be suffered out of the participation in the Wheels and Heels; event. It is also agreed to release and forever discharge the above persons from all actions, suits, proceeds, claims, demands, penalties, and fines however arising, including negligence.
8.3. Any legal action related to the event will be taken in New Zealand courts under New Zealand law.

9. Photography
9.1. Entrants must accept that they may be photographed or filmed during the event, and must agree to the creation and use of such footage for future promotions and publicity of the event.

10. Transfers and Refunds Policy
10.1. In the event of a change of route, cancellation of the event due to any act beyond the power of the organisers, or dissatisfaction, the organisers are under no obligation to refund fees paid.
10.2. All changes to entries will incur a $10.00 administration fee.


11. Cancellation of Entry
11.1 Where an entrant wishes to cancel or transfer their entry, this may be made up to Friday 22 February  2013. After that date all refunds are at he discretion of the event organiser. Such requests must be made in writing or by email to the event organiser.

12. Disqualification from the Event

12.1. Any entrant who, in the opinion of the organisers, fails to comply with these event conditions may be disqualified from the event. Disqualification will result in the offender’s name being removed from result lists and prize draws. Entrants who change from the 68km course to the 32km course (or vice versa) during the course of the event will be disqualified.

13. Prizes

13.1. To win a major prize, an entrant must be present at the prize giving ceremony.

14 Timing Transponder use
14.1 The return of the computerised timing transponder is event participants responsibility. Failure  to return the timing transponder will incur a cost of $50.00.
